What can you automate safely?
A task is a good candidate only when its purpose, exceptions, data, checks and fallback are clear.
Start with the task, not the technology. A safer candidate is usually bounded, repeated regularly and produces an outcome someone can check easily.
Ask five questions
- What is the purpose? Does the step save time or prevent errors, and can that be checked?
- What data is needed? Share only what is necessary and assess whether personal or confidential information may be processed.
- Which exceptions occur? Decide when a person should take over.
- Who checks the result? Agree who reviews outputs before they affect customers, staff or business records.
- What happens if something goes wrong? Keep a recovery or manual fallback and a way to pause the automation.
Start with low risk
Test a focused task that is easy to compare with the current process. Consider corrections, exceptions and maintenance as well as speed. If the process is unclear, simplify it first.
AI can help with some tasks, but its output may be wrong. Do not treat it as verified fact or let important decisions pass without appropriate human review.
